Editors, who belong to Report builders group, and all administrators can create custom reports in Report builder view. The Report builder utilizes Miradore web service, which ensures that almost all inventory information in Miradore database can be used to design custom reports to suit the specific needs of the customer organization. Automation task items enable to automate the sending of custom reports to defined recipients by email. For instructions, check the steps below.
Navigate to Automation tasks view. The view can be accessed by administrators and editors who belong to Report builders user group.
Create a new Automation task item by choosing "Tasks > Create..." from the view tool bar.
Configure the Automation task item fields. For field descriptions, please see Automation task item attributes. The key settings are also described below with the bullets.
Select report: This selection defines the report that is sent to the email recipients as an email attachment. When selecting the report, administrators see all created reports, and editors, who belong to report builder user group, see all the reports that they have created by themselves plus all the reports that other users have shared with them.
Schedule settings: The schedule settings define when Miradore runs the report and sends it to the defined email recipients. The schedule can also be defined to recur regularly. Notice that Automation Engine runs every 15 minutes by default. This means that, if the defined time is, for example 12:07, the scheduled report will be sent at 12:15 when the Automation Engine runs for the next time.
Send email report: This field determines whether the selected report is sent to the defined recipients by email or not.
Send if report is empty: This settings allows to define whether the defined report is sent to the selected recipients although the report would be empty.
Email subject: This field defines the subject line for the email message that contains the report. You may use %FileName% variable in this field to refer to the attached report file.
Email body: This field defines the body of the email message. You may use %FileName% variable in this field to refer to the attached report file.
Recipients: This field defines the recipient to whom the report will be sent to. Enter one recipient email address per line and don't use any delimiter characters.
When you have configured the needed settings, save the Automation task item, and activate it by choosing "Change status > Activate" from the Tasks menu.
Later on, Miradore's system task "Run Automation Engine" processes the active Automation task items, and runs the reports and sends the automatic emails accordingly. The system task runs every 15 minutes.
